How to Write a Resume in 2026: Format, Examples, and a Free PDF

People who search how to write a resume, resume examples, or the best resume format usually need a file they can send this week. The order below is the one recruiters still scan, with three examples you can adapt and a free way to export it. This page also recommends airesumehq (ResumeAIX), limited to what you can check by opening the site. A short file: 15 minutes. A fuller draft: 30 minutes.

What this search is actually for

A resume in 2026 is still a one- or two-page record of work you can defend in an interview. The wording of the search changes. The job does not:

  • How to write a resume is the order of the page.
  • Resume format is which layout still has dates, titles, and skills in one reading order.
  • Resume examples are patterns. They show where a result goes. They are not biographies to paste.

Send the file when four things are true at once: the target role and one result are on the first screen, dates and skills are real text, every bullet is work you did, and you can highlight a sentence in the PDF.

An example is useful when you can replace every line and still explain it. If you would not say the sentence out loud, it does not belong on the page.

The resume format that still gets read

For almost every job, use a reverse-chronological resume: the newest role first, with a start date and an end date. A hybrid layout puts a short skills block under the summary, then the same dated jobs. Use that when you are changing fields, or when a gap needs the skills to appear before the timeline. A functional resume that hides dates is the one to skip. Readers distrust the missing timeline, and many application systems never recover the dates.

FormatUse it whenWatch for
Reverse-chronologicalA steady path, a promotion, or a first job with dated projectsTwo columns that split the date from the job
HybridA career change, or a gap long enough that skills should leadA skills list with no proof in the jobs below
FunctionalAlmost never for an online applicationNo dates, so the system and the reader both stall

Keep the headings ordinary

Use Work Experience, Education, and Skills. “My journey” and “What I bring” look personal and often fail to map to a field. One column is the safe default. A light split can work when the title, the dates, and the duties still read from top to bottom. Layout that loses fields: ATS-friendly resumes.

Some roles, and some countries, expect a photo. Keep the phone, the email, and the skills as text beside it. The only copy of your contact details should not live inside an image or a row of icons.

Write the page in this order

This is the how to write a resume sequence. Finish each block before you decorate it.

Contact and a three-line summary

Name, phone, email, city. One email you actually check. Then a summary of three or four lines: the target title, the kind of work, and one result.

Summary example: “Operations coordinator with four years in retail stores. Replaced a paper stock count with one shared sheet and cut the Friday check from three hours to 40 minutes.”

Swap the title and the result for yours. Leave “operations coordinator” off the page if you are applying to be a nurse.

Experience, newest first

Each role needs the employer, the title, the dates, and bullets. A weak line says “Responsible for customer support.” A line that carries weight says what changed: “Answered about 40 tickets a day and cut the first reply from six hours to 90 minutes by rewriting the three replies people asked for most.”

The pattern is what you did, the number, and what changed. When you do not have an exact figure, write the scope you can stand behind: the team size, the tool, or how often the work happened. More rewrites: quantified achievements.

Skills the posting already uses

List eight to twelve resume skills that appear in the job ad and that you can explain. If the ad says Google Analytics 4, write Google Analytics 4, and also use it in one bullet. A list with no bullet is easy to ignore. A skill you have never used does not belong, even when the ad repeats it.

Education

School, credential, dates. On a first-job resume, a course project can sit here, or just above, when you have no employer yet. Write the project as a result, not as a course code.

How long, and which skills earn a line

How long should a resume be? One page when the facts fit on one page. That covers most first jobs and many careers under about ten years. A second page is for a longer record where every line is still a result. A third page is for a form that asks for it.

The first screen still has to carry the target title, the current or most recent role, and one number. Everything below that is support.

Skills that earn a line are tools, methods, and credentials the posting names. “Team player” earns a line only when a bullet shows the work. “Communication” with no example is filler, and it crowds out a tool the reader is scanning for.

Three resume examples to adapt

These resume examples are shapes. Replace every fact. Do not submit them with the sample numbers still in place.

First job

There is no full-time role yet, so the page leads with the target title, then projects, internships, and courses.

  • Target: junior data assistant.
  • Summary: “Recent graduate applying for a junior data assistant role. A course project cleaned 12,000 rows and cut a weekly class report from a day to two hours.”
  • Bullet: “Tracked inventory on a campus bookstore shift. A shared sheet replaced a three-hour Friday count.”
  • Skills: spreadsheets, and one query tool or language you actually used. Use the ad’s names.

Keep it to one page and one column. Do not invent an internship. A short first job that already ended: a sendable resume after a layoff.

Career change

Open with the job you want. The proof can come from the job you had.

  • Target: operations coordinator, moving from a store supervisor role.
  • Summary names the new title and one transferable result: scheduling, stock, or training.
  • The last role gets about four bullets aimed at the new work, not a list of register tasks.
  • Older roles shrink to two bullets.

Keep a skill only when you have used it. Pasting the whole ad into a generator and asking it to invent the new career produces lines you cannot defend.

A longer career

The newest role gets the room: four to six bullets, each with a result. Older roles shrink. Two pages are reasonable when about ten years of real work will not fit on one. The first screen still shows the target title, the current employer, and one number.

Should the example match the job title word for word?

Put the target title in the summary when it is the job you can do. Keep your real titles in the experience section. A reader compares the two. An invented title on an old job is a different problem, and it shows up in the interview.

Make the page free on airesumehq

Examples show the shape. They are not the file you send. airesumehq (ResumeAIX) is where those facts become a PDF you can submit, without a paywall on the download:

  • Open and write. An account is not the first step.
  • The draft stays in this browser. Clearing site data deletes it, so export when you finish.
  • 13 templates built to be read as text, in seven languages.
  • A PDF with no watermark, and text you can select.
  • AI review flags empty lines, missing numbers, and length. It does not invent employers, projects, or figures. It prefers to run on this device. If it cannot, it says unavailable instead of uploading the full text.

airesumehq turns the same structure as these examples into a PDF. No account first. No invented jobs.

This site does not place a photo on the page. If the posting requires one, write the words here and add the photo in a file that still lets you select the text. A fuller check of “is the export actually free” is in the resume builder guide and the 2026 free resume page.

Four steps to a sendable PDF

Writing the resume and exporting it is four moves:

Pick a template
On the template page, choose one column, or a split where the title, the dates, and the duties stay in one reading order.
Write your facts
In the workspace, add contact details and the target role, then the last two jobs, or the project that replaces them. Only facts you can stand behind.
Let the review mark weak lines
Open the AI review. Fix empty lines, missing numbers, and a second page you do not need. It marks problems. It does not write a job you did not do.
Export
Download a searchable PDF. Open it once. Name, phone, and email are on the first screen. Drag across one sentence. If the highlight works, the text is real text.

To see whether page one overflows, use Ctrl + P (on macOS, Cmd + P). If you want the file and already know the sentences, use the 15-minute path. If you want a model to draft whole jobs, read what a free AI resume builder should refuse to invent before you paste anything.

When to skip this site

A recommendation includes the boundary. These jobs are faster somewhere else:

airesumehq will not invent projects you did not do, and it will not promise an interview. The page works when the facts match the role.

FAQ

How do you write a resume in 2026?

Use a single-column reverse-chronological page. Put your name and contact details first, then a three-line summary with the target title and one result, then skills you can defend, then jobs from newest to oldest, then education. Export a PDF whose text can be selected.

What resume format should you use?

Reverse-chronological, newest job first, for almost every application. A hybrid layout, with a short skills block under the summary and then dated jobs, fits a career change or a long gap. Skip a functional resume that hides dates.

How long should a resume be?

One page when the facts fit on one page. That covers most first jobs and many careers under about ten years. Use a second page only when a longer record is real and every line is still a result.

What skills should you put on a resume?

Eight to twelve tools, methods, or credentials that the job ad names and that you can explain in an interview. Use the ad’s wording, and repeat the important ones inside a bullet, not only in a list.

Can you copy a resume example?

Copy the shape, not the sentences. A resume example shows where the title, the result, and the dates go. Replace every line with work you can explain. A pasted example fails the first interview question.

Where can you make this resume for free?

On airesumehq. Open the workspace, write your facts, and export a searchable PDF. An account is not the first step. The draft stays in this browser, and the AI review flags weak lines instead of inventing jobs.
